Subcontractor compliance, automated

Track subcontractor COIs without spreadsheets

SubTrack reads every certificate of insurance automatically, tells you exactly who's out of compliance, and chases renewals for you — so an expired COI never becomes your problem.

A live SubTrack subcontractor record: Cardinal Electric Co., marked Compliant, with general liability, workers comp, auto and license rows showing carrier, policy number, limits, expiry dates and source certificate PDFs, a verified CR-11 electrical license, and a green line reading Endorsements read: additional insured blanket (CG 20 10, CG 20 37), primary and non-contributory, waiver blanket.

The status quo

The spreadsheet always loses

One tab, forty subs, expiration dates typed by hand. Nobody updates it when a policy renews, nobody notices when one lapses, and you find out during an audit — or worse, after an incident, when the certificate you were relying on turns out to have expired in March.

Expiration dates typed by hand, out of date the moment a policy renews
No way to tell whether a current certificate actually meets your limits
Renewal chasing lives in your inbox, and stops when you get busy
Proving you verified a license means digging through email threads
How it works

How it works

1

Add your subcontractors

Type them in, or import a CSV you already have. Company lookup fills in the address and phone so you're not retyping what's already public.

2

Set what coverage you require

Your minimum limits for general liability, auto, and umbrella, plus whether you require workers comp, additional insured status, and waiver of subrogation.

3

Send one round of requests

Each sub gets an email listing exactly what their certificate must show, with a secure link to upload it themselves. No account for them to create, nothing for you to forward.

4

It runs itself from there

Certificates are read on arrival and checked against your minimums. Renewals get chased automatically before they lapse, and anything short of your requirements is flagged on the dashboard.

Why SubTrack

Built for the part everyone else skips

It reads the certificate, not just the date

Carrier, policy number, each-occurrence and aggregate limits, additional insured and waiver of subrogation checkboxes — pulled off the ACORD form automatically and checked against the minimums you set. A cert that's current but only carries $500K when you require $1M shows up as a problem, because it is one.

Subs upload their own certificates

The request email carries a secure upload link. Your sub — or their insurance agent — drops the PDF in and immediately sees whether it satisfies what you asked for. You stop being the middleman on a file transfer.

Licenses, not just insurance

Track contractor licenses alongside COIs, with one click through to the official state board for every US licensing jurisdiction. Every verification is logged with who checked and when, so "we verified it" is a record instead of a memory. Most COI tools stop at insurance.

Honest about what it can't confirm

When a limit can't be read cleanly off a certificate, we say so instead of guessing. A tool that quietly marks something compliant when it isn't is worse than no tool at all.

The difference, on screen

Both of these certificates tick the box

Every tool reads the ACORD checkboxes. The question a claim turns on is whether an endorsement actually backs them up — and that answer is further into the document, on pages most software never opens. Two real records from the dashboard:

A subcontractor record showing general liability and workers comp coverage, with a green line reading: Endorsements read — Additional insured: blanket, forms CG 20 10 04 13 and CG 20 37 04 13, primary and non-contributory, waiver blanket. Status chip reads Compliant.
Backed by an endorsement. The form numbers are named, so the additional-insured status is something you can hand to an adjuster.
A subcontractor record with current coverage expiring in 95 days, flagged with an amber warning reading: Additional insured is checkbox-only — no endorsement form or language found to back it up. Status chip reads Coverage gap.
Nothing behind the box. Current, unexpired, and would read as compliant anywhere else. SubTrack says what it could not confirm.

FAQ

Questions worth asking

What if the certificate is a photo, or a bad scan?

It still gets read — PDFs and phone photos both work. If the read fails or a field is unclear, the certificate is still filed against that subcontractor and flagged for you to review rather than being silently dropped or guessed at.

Do my subcontractors need an account?

No. They get an email with a secure upload link that works without any signup. The link expires after 30 days and is limited in how many times it can be used.

Can my team use it?

Yes. Invite as many people as you need at no extra cost, each as view-only or view-and-edit. Everyone works inside your account and sees the same data.

Does this replace my insurance broker or attorney?

No, and it isn't trying to. SubTrack tracks and verifies what's on file against the requirements you set. Deciding what coverage to require, and what to do about a gap, is a conversation with your broker and counsel.

Can I get my data out?

Any time, and for 30 days after you cancel. Export the whole account to CSV from the dashboard in one click, and there's a read-only API if you'd rather pull it into something else while your subscription is live.

What does it cost?

$49 per user per month for full access, $5 for read-only seats, with a 14-day free trial. The full breakdown is on our pricing page — no demo required to see a price.

Get compliant before the next audit

Set up takes about ten minutes: add your subs, set your minimums, send one round of requests. After that it runs itself.
